Information we handle
- Account information. If you create an account, we collect your email address, your optional display name and optional profile photograph, and authentication information needed to sign you in. Password authentication is handled by Supabase; Bottle Vault does not display or store your readable password. Profile photographs are stored privately and are used only to personalize your own account screen and profile button.
- Early-access information. If you join the early-access list, we collect your first name, email address, approximate collection size, collection type, consent choice, signup source, and submission time. This list is separate from a Bottle Vault app account.
- QR campaign information. When a Bottle Vault QR code is opened, we record the printed-material type and scan time so we can compare campaign visits with signups. We do not store contact information from a QR scan unless you separately submit the signup form.
- Collection content. We store the wine and spirit details, storage layouts, bottle locations, Wishlist entries, purchase history, preferences, tasting notes, pairings, drinking reminders, and other Insights that you enter.
- Shared vault information. If you share a vault, we store the invited email address, access role, membership status, and any storage locations selected for view-only access. Editors can change the entire vault. Viewers receive either the active vault or only the locations selected by the owner. Viewers do not receive private notes, Insights, purchase details, consumed history, or Wishlist content. Vault members can see the vault owner's email address so the shared vault can be identified. The owner can change access or remove a member.
- Bottle-label images. When you choose to identify a wine or spirit, the selected photograph is sent securely to our Supabase server function and to OpenAI for image analysis. The recognition result is returned to you for review. Bottle Vault does not use label photographs for advertising or sell them.
- Subscription and usage information. RevenueCat, Apple, or Google handles purchase status. We store entitlement status and limited counters such as saved-bottle totals, label scans, milestones, paywall views, and purchase events. Analytics records do not contain bottle names, tasting notes, label photographs, or email addresses.
- Device storage. Bottle Vault keeps an on-device copy of your collection so the app can remain useful between sessions. A cloud copy is stored only when you create and use a Bottle Vault account.
How we use information
We use information only to provide and improve the features you request, including authenticating and personalizing your account, syncing your vault between devices, identifying bottle labels, generating editable drinking-window suggestions, displaying your collection, enabling shared-vault access, responding to support or privacy requests, and sending launch news, product tips, and occasional offers when you expressly join the early-access list.
Service providers
Bottle Vault uses Supabase for authentication, database storage, synchronization, server functions, and limited first-party usage analytics. AWeber receives the name and email address of people who expressly join the early-access list and provides subscription confirmation, email delivery, unsubscribe processing, and campaign reporting. OpenAI processes bottle-label images submitted for identification and returns structured wine or spirit details. RevenueCat manages subscription entitlement information. Apple and Google process store purchases, downloads, updates, and related information under their own policies.
Sharing, advertising, and tracking
Bottle Vault does not sell personal information, display third-party advertising, or use cross-app advertising trackers. When a vault owner deliberately invites another person, Bottle Vault makes that vault's collection content available to the invited person according to the selected role. We may also disclose information if required by law, to protect users or the service, or as part of a business transfer subject to appropriate protections.
Retention and deletion
Cloud account information and collection content are retained while your account remains active. You may permanently delete your account from Settings → Delete account. Deletion removes your Bottle Vault authentication account and owned cloud vault and clears the Bottle Vault collection stored on that device. This action cannot be undone.
A vault owner can remove a shared member's access at any time in Shared Vaults. Removing access does not delete the owner's vault. If the owner deletes the owner's account, the owned vault and its sharing records are deleted. If an invited member deletes the member's account, that member's accepted shared-vault access is removed.
You may use Bottle Vault without an account. Data used only on the device can be removed by deleting content within the app or uninstalling the app.
Security
We use reasonable technical and organizational safeguards, including encrypted network connections and access controls. No storage or transmission system can be guaranteed to be completely secure.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information, or to object to or restrict certain processing. You may exercise deletion directly in the app. For another privacy request, contact us below.
You may leave the early-access marketing list at any time by using an unsubscribe option in a marketing email or by contacting support@bottlevaultusa.com. Asking to leave the marketing list does not delete a separate Bottle Vault app account.
Children
Bottle Vault is intended for adults managing wine and spirits collections. It is not directed to children under 13, and we do not knowingly collect personal information from children.
International processing
Our service providers may process information in countries other than the country where you live. Where required, appropriate legal safeguards apply to such transfers.
Changes to this policy
We may update this Privacy Policy as Bottle Vault changes. We will update the effective date and provide notice when required.
